This policy explains how Zap It Pest Control Melbourne(“we”, “us”) handles personal information. By using our website you acknowledge this policy, which we update from time to time.
Information collection
We may collect information you provide directly (such as your name, phone number, email address, property address, and details about your pest issue) when you request a quote, book a service, contact us, or use our website forms. We may also collect limited technical data (such as browser type, device type, and general location derived from IP) to keep our website secure and improve performance. When you send an enquiry, we also keep a coded (hashed) version of your IP address with it, so we can limit repeat submissions. We only collect what is reasonable for providing pest control services, responding to enquiries, and meeting legal obligations.
Use of information
Information is used to provide and schedule services, prepare quotes, communicate about your booking, process payments where applicable, manage risks at your property, send service-related messages, improve our operations, and comply with regulatory or insurance requirements. Marketing communications, if any, will be sent only in line with applicable law and your preferences.
Data protection
We take reasonable steps to protect personal information from misuse, loss, and unauthorised access or disclosure. This includes access controls, secure service providers where used, and staff training. No online transmission is fully risk-free; if you have concerns, contact us using the details below.
Third-party services
We use third-party tools for website hosting and for storing contact form enquiries (Cloudflare), passing each enquiry to our team (Telegram, with a backup copy kept by Formspree), online booking and payments (Square), and customer messaging (Podium). Calls to and from our business phone lines are recorded and transcribed by our phone provider, so we have an accurate record of what was asked and agreed. When you send our contact form, your name, email, phone and message are also sent to WhatConverts, our lead tracking provider. The chat on our website is an AI assistant: your questions are answered by an AI service (Anthropic). Chat answers are AI generated and may contain mistakes. Please don't type sensitive details into the chat. We keep chat questions for up to 30 days with phone numbers and email addresses removed, to improve the answers. Until 14 November 2026 we keep every question; after that we keep only the ones the assistant could not answer. If you ask us to text you back, your name, mobile number and the chat go to our team, including our Telegram alerts, and we reply from Podium, our customer messaging service. Some of these providers store or process information outside Australia, including in the United States. These providers process data on our behalf under their own terms and privacy practices. We recommend reviewing their policies when you use their interfaces.
Your rights
Under the Privacy Act 1988 (Cth) and other applicable law, you may request access to or correction of your personal information, or raise a concern about how we handle it. We will respond within a reasonable time. You may also complain to the Office of the Australian Information Commissioner (OAIC) if you are not satisfied with our response.
